Corporate events: every movement on one run sheet

An AGM, product launch or incentive weekend runs to a timetable, and transport is the part guests notice when it slips. Each movement is arranged with a vehicle and driver from a licensed partner operator and appears as its own line in the quote.

Map the movements, then size the vehicles

Count people per movement, not per event. Arrivals trickle in over a day from FRA, MUC, BER and the Hauptbahnhof; the first morning sends everyone to the venue within half an hour; the dinner splits into a coach and cars for the board. The peak morning sets the vehicle count.

When you hire a whole bus with its driver, you set the purpose, route and course of each trip. Your movement sheet becomes the driver's brief, so name one person on site who may change it on the day.

Long days and the driver's clock

EU rules cap a coach driver at 9 hours behind the wheel daily, extendable to 10 twice a week, with 45 minutes off after 4.5 hours, which may be split 15 plus 30. Daily rest is at least 11 hours. An airport run at 06:30 and a gala return after midnight cannot share one driver, so the quote shows a second driver or a separate evening vehicle.

On a roadshow of a week or more, the weekly ceiling of 56 hours, and 90 across two weeks, decides whether one driver can stay with the group. Send the full itinerary.

  • A whole bus hired with a driver (Mietomnibus) carries a group whose hirer sets the purpose, destination and course of the trip

Venue kerbs in the big cities

In Hamburg, the CCH and the Messe share coach set-down on Rentzelstraße at the Heinrich-Hertz-Turm and on Theodor-Heuss-Platz opposite Dammtor station, where ICE trains call; both are for getting on and off only. München has no coach parking in its Altstadt, just set-down zones of about 20 minutes on the Altstadtring, so an old-town dinner needs a fixed pickup time.

Board members and speakers usually ride in a car with driver, a Mietwagen, which runs only on bookings placed in advance. Plan these runs with the coach timetable, not on the night.

What do you need from us to quote?

The agenda with times, hotel and venue addresses, the headcount for each movement, flight and train lists, and any guests who use a wheelchair. Each run in the quote shows the vehicle type and seats.

Is one loop past several hotels efficient?

Up to about three hotels on one route, usually. Beyond that, two loops timed to arrive together lose less time at the kerb.

What if the VIP timings move during the event?

A car with driver cannot be flagged down; every trip is a booking. If timings are likely to shift, book the car with waiting time for the period rather than single legs.
